How to write a Business letter


  • Sender Address

          Name of the  sender’s organization
          Address of sender’s company

          Date

  • Receiver Address

           Name of the receiver
           Designation of the receiver

           Name of the receiver’s organization

  • Subject line 

           A concrete reason that why you are writing a business letter to the receiver is known as Subject line.

  • Salutation:

              The method through which we can relate the receiver is known as salutation. There can be various                              ways of relating the receiver which as follow:

  • Note:

  1. If you have information about the gender but don’t know about the name and the designation of the receiver , then please use  --------------------- -    Respected Sir/Madam
  2. If you have the information about  the name of the receiver but not the designation--------------- --------------------   Respected Name of the receiver
  3. If you know the Designation but not the name then follow---------- Respected Manager
  4. If you do not have information about the receiver then please write----Respected Reader.

  • Introduction:

               In this paragraph, we will discuss about the sender’s organization which includes 
   the status of the organization and provide a hint to the receiver that why the sender has designed the letter. 

  • Discussion:

             In this particular paragraph, the sender will illustrate about the issue or recommendation 
in detail. What were the concrete reasons due to which the sender designed this official letter to the receiver?

  • Conclusion:

            In the conclusion, the sender of the letter will emphasize the receiver to fulfill your request 
                as soon as possible.

  • Complementary Closing:

            The sender of the letter will use the complement as “Yours Respectful” with your signatures and                lastly the name of the sender.


As we have learnt about the designing of letter writing, now we will exercise some letters using this formal designing.
